Sample problems often begin with something assumed to have been confirmed. Recording official requirements, product condition and transport responsibilities is more reliable than retaining only a delivery address.
Establish whether physical samples are required
Programmes may assess documents, physical products, or samples requested only after progression. A food or beauty classification does not justify sending products to an organisation’s address before registration.
Great Taste arranges samples through registration and subsequent instructions. Monde Selection’s calendar and process incorporate both registration and sample receipt. Complete the required steps, then use the receiving information for the relevant edition.
Match products to entry references
For each entry unit, record the product, model or flavour, entry reference, specification, quantity and packaging version. Use consistent English company, brand and product names across forms, labels and transport papers.
Provide ingredients, allergens, instructions, preparation and storage information as required. Check accompanying labels, manuals, accessories and identification documents. This is a working framework; the specific mandatory items come from the selected programme.
Use current addresses and instructions
Obtain the address from the entry confirmation or official sample guide, rather than copying an office address. DWWA 2027 offers several delivery methods with distinct milestones and fees. Consolidation-point delivery is different from arrival at the final warehouse.
Record the recipient, telephone, parcel references and receiving window. Confirm whether several entered products may share one parcel. Establish appointments, refrigeration and special transport before fixing dispatch.
Separate judging instructions from import requirements
An award’s instructions describe what judging needs; they do not replace destination import, tax or documentation requirements. For the UK, the government’s import process requires checks based on the goods and their purpose. Calling a parcel an “award sample” does not give every product the same treatment.
The UK’s commercial-sample relief guidance has specific conditions. Eligibility depends on the actual goods and use. Award participation does not automatically confer relief, and declarations must remain accurate.
Keep handover and receipt evidence
Before dispatch, check quantities and packaging, retaining a product list, box references and appropriate photographs. After dispatch, retain tracking, signed delivery and organiser receipt confirmation. Handle damage, missing items or inconsistent documentation under the official supplementary or replacement instructions.
Confirm whether samples are returned, retained or displayed and who pays associated costs. Sample coordination can bring these tasks together; materials support can align product information and English instructions.

A practical question
Does a courier signature complete official sample receipt?
Not necessarily. Check whether the designated location received it and whether internal registration, inspection or confirmation remains. Keep the transport record and confirm the official sample status when needed; these are different records.
Review the directory, or compare entry options.
