Planning several entries starts with responsibilities and preparation order. A shared record of products, assessment objects, evidence and charges is more useful than a long list of award names.
Build the shortlist around the object being assessed
List the products, packaging, design work or innovations proposed for entry. Record the version, market status, rights holder and available evidence. Then select programmes by what they assess, explaining the relationship to the product and the aspect to be evaluated.
One product may suit several directions, but it need not enter every related programme. Taste, design and innovation require different materials. Compare conditions, workload and the company’s purpose before setting priorities.
Confirm eligibility before scheduling
Check the applicant, market-launch window, category, exhibitor or member conditions, completion status and exclusions. Only programmes for which the company is eligible and able to prepare should enter the committed schedule.
For example, iF DESIGN AWARD 2027 accepted entries during 2026, while Pentawards announced a January 2027 opening for its next edition. Schedule work across calendar years according to the edition, rather than grouping everything by the year in its name.
Record the principal tasks for each programme
Separate registration, payment, file lock, dispatch, receipt, judging and results. Give internal approvals an owner and a date. Great Taste sample instructions differ from DWWA, where delivery dates depend on the shipping route. One logistics task cannot cover both arrangements.
Use published official dates. Record month-only information and matters requiring confirmation separately. When an organiser changes a milestone, review approvals and sample preparation as well as the date in the spreadsheet.
Separate budgets by stage and condition
Record entry, progression and post-award charges, followed by materials, samples, shipping and optional purchases. Preserve original currencies, tax treatment and conditions. Identify the basis of any conversion. A programme requiring a quote does not have a confirmed total until that quote is obtained.
Quantity also matters: the number of products, flavours and categories can change the budget. Comparing only the lowest initial entry rate misses mandatory post-award costs that should be understood at the decision stage.
Share source materials; prepare separate entry versions
Company, team and product names and original images can be managed centrally. Adapt the narrative, evidence, presentation files and English text for each programme. Record the version, approver and submission time so that parallel applications do not use unapproved material.
Keep physical inventory, quantities, specifications, box references and receipt records separately. After results, archive feedback, certificates and official listings. Where a mark is involved, track its permitted recipient, term and communications materials.
Use the awards calendar to review dates and annual advisory to coordinate the shortlist, materials and samples. A smaller portfolio can begin with a focused strategy review and build an accurate product archive over time.

Preparation checklist
| Item | What the plan should record |
|---|---|
| Product and version | Model, formulation, range or work; launch or completion date |
| Assessment object | Design, taste, nutrition evidence, innovation or experience |
| Internal preparation | Owner, translation, final files and approval dates |
| Official milestones | Edition, region, route and stated closing or arrival requirement |
| Budget and decision | Confirmed costs, conditional charges, options and decision to proceed |
A practical question
What if preparation cannot be completed in time?
List the missing materials and any eligibility issues before deciding to withdraw, defer or adjust the target. Do not copy last year’s dates into the next edition or ignore product changes because an annual plan already includes the entry.
Check the organiser and current conditions in the directory. If support is needed, first compare self-entry and advisory support.
